Scope and purpose

This notice covers our restricted business administration service, used to check existing project, equipment-hire and accounting records. Access is limited to the authorised company owner. The service reads selected records and does not change them or make payments.

We use account and sign-in information, business contact details, project references, descriptions, invoice information and payment records. These may include names, contact or billing addresses, dates, amounts and balances. The information comes from the authorised account holder and Opto's existing business records. Hosting services also process technical information, including network and device details, requests and error records, to operate and secure the service.

Our lawful basis is our legitimate interests in administering the business, checking records and protecting access. We limit access and processing to what is needed for those purposes. We do not sell personal information, use this service for advertising, or make solely automated decisions with legal or similarly significant effects.

Service providers and processing locations

We use providers of website delivery, account authentication, database and application hosting, and business-record services. They and their authorised service providers process information needed to operate, secure and support those services.

Primary database storage is in the UK. Delivery, support and other service operations may involve processing outside the UK, including in the EU, United States and Singapore. Provider data-processing terms include contractual safeguards for international transfers, including standard contractual clauses and UK provisions where applicable. How long we keep information

Owner-account information is retained while authorised access is needed. Displayed results are held temporarily in the page and clear on closing or refreshing it. The service does not create a separate database of the financial records it reads.

Connection and setup records are retained while needed to operate or troubleshoot access. We review them when setup work finishes or access ends, and remove information no longer needed through controlled maintenance. Revoking access does not automatically erase retained records or backups. Source records, deliberately saved copies, technical logs and backups have separate retention arrangements, based on business, legal and security needs. Your rights

You can request access, correction, deletion or restriction of your personal information by contacting info@optolive.com. A right to receive or transfer information may also apply. We assess requests under applicable data-protection law.

Your right to object

You can object to our use of your personal information for legitimate interests by contacting info@optolive.com. We will consider your circumstances and the reasons for the processing.

We will update this notice if the service's handling of personal information changes.
